Setup Guide

Everything you need to install PropSweep, connect it to your HubSpot portal, and run your first property audit.

Open the Marketplace listing
STEP 01

Prerequisites

Before installing PropSweep, make sure you have:

A HubSpot account (Free, Starter, Professional, or Enterprise — any hub)
Super Admin permissions, or App Marketplace access in your HubSpot portal
STEP 02

Install from the HubSpot Marketplace

  1. Open the PropSweep listing on the HubSpot App Marketplace (or search the marketplace for "PropSweep")
  2. Click "Install App" on the PropSweep listing page
  3. Review the requested permissions — PropSweep only requests read-only access (see step 03 below)
  4. Choose your HubSpot account and click "Connect app" to authorize via OAuth
  5. You will be redirected back to PropSweep once the connection is established

The entire installation process takes about 30 seconds. No configuration or API keys are required.

STEP 03

OAuth & permissions

PropSweep requests the minimum scopes needed to audit your CRM properties. Contacts, companies, and deals are required; other object types are optional. All scopes are read-only — PropSweep never writes, updates, or deletes anything in your HubSpot portal. For full details on what data we access, see Security & data.

Required scopes

crm.objects.contacts.readCount contact records to calculate fill rates
crm.schemas.contacts.readRead contact property definitions (names, types, groups)
crm.objects.companies.readCount company records
crm.schemas.companies.readRead company property definitions
crm.objects.deals.readCount deal records
crm.schemas.deals.readRead deal property definitions
oauthStandard HubSpot app authentication

Optional scopes

These let PropSweep scan more object types. If you don't grant one, or your HubSpot subscription doesn't include that object, PropSweep skips it and scans everything else.

crm.objects.tickets.readcrm.schemas.tickets.readTickets
crm.objects.leads.readLeads
crm.objects.line_items.readcrm.schemas.line_items.readLine items
e-commerceProducts
crm.objects.quotes.readcrm.schemas.quotes.readQuotes
crm.objects.custom.readcrm.schemas.custom.readCustom objects

Revoking access

You can disconnect PropSweep at any time: go to HubSpot Settings → Integrations → Connected Apps, find PropSweep and click "Uninstall". All stored data associated with your portal will be deleted upon uninstalling.

STEP 04

Running your first scan

  1. After installing, open PropSweep from within your HubSpot portal
  2. Click "Run Scan"
  3. PropSweep will check every custom property across your CRM object types (Pro tier scans all 8 standard types plus custom objects)
  4. A typical scan completes in 30 seconds to 2 minutes, depending on the number of custom properties in your portal

On the free tier, scans cover contact properties only and show the top 5 results. You can run one scan every 7 days.

STEP 05

Understanding your results

After a scan completes, PropSweep displays your custom properties sorted by fill rate (lowest first).

What is fill rate?

Fill rate is the percentage of records that actually have a value for a given property. For example, if you have 1,000 contacts and a property called old_campaign has a value on zero of them, its fill rate is 0% — a strong signal that this property is unused. More on reading fill rate.

STEP 06

Taking action

PropSweep is a read-only audit tool — all cleanup actions happen in HubSpot's native property settings:

  1. Review the scan results and identify properties with 0% or very low fill rates
  2. Optionally, export a CSV of the full audit report (Pro tier) for documentation or team review
  3. In HubSpot, go to Settings → Properties
  4. Check where each property is used (HubSpot shows this when you archive), then archive the ones nothing depends on

Archived properties can be restored for 90 days before HubSpot deletes them permanently. For a full checklist, see how to safely archive or delete HubSpot properties.

STEP 07

Upgrading to Pro

The free tier includes one scan every 7 days of contact properties (top 5 results). The Pro Pass costs $19 for 6 months — a one-time payment with no auto-renewal. When your pass expires, you return to the free tier and can purchase another pass whenever you need it.
